What KRA eTIMS is — and why a till without it is incomplete
eTIMS (electronic Tax Invoice Management System) is Kenya Revenue Authority’s e-invoicing regime. The Finance Act, 2023 and the Electronic Tax Invoice Regulations require persons carrying on business to issue electronic tax invoices. From 2024, expenses that are not supported by an eTIMS (or TIMS) invoice generally cannot be deducted for income tax, except where the law carves out an exemption.
That is not only a VAT-registered supermarket problem. KRA’s published position is that persons in business — companies, partnerships, sole proprietors, informal traders, and businesses that supply VAT-exempt services such as many schools, hospitals and NGOs in trade — are expected to onboard eTIMS. If your customer is a company that needs a deductible purchase, they will ask for a fiscal invoice, not a till slip with only your shop name.
A POS that ignores tax forces the owner onto KRA’s web portal, a second app, or a USB control unit after closing time. That is how invoices get skipped, duplicated, or dated wrong. Integrating tax into the point of sale is the operational fix.
How DigiTax fits: a licensed OSCU between you and KRA
KRA does not expect every software vendor to become a tax authority. System-to-system integration uses a Sales Control Unit. OSCU (Online Sales Control Unit) signs invoices by connecting to the online eTIMS environment. VSCU (Virtual Sales Control Unit) is the other KRA integration shape, typically discussed for high-volume or bulk invoicing. DigiTax, from Namiri Technologies, is licensed as an eTIMS OSCU integrator. It is also presented as ODPC-aware for personal data handling.
DigiTax is not a replacement till. It is the fiscal layer: your PIN and branch, item tax classes, signed invoice metadata, and transmission to eTIMS. Zeni POS remains the shop system — products, stock, M-Pesa, cashiers. DigiTax remains the licensed path that talks to KRA. That split is what “supporting tax through DigiTax” means: we do not ask you to become an OSCU expert, and we do not pretend a homemade API to kra.go.ke is a product.
DigiTax also documents OSCU-oriented extras that matter in Kenya: offline receipt URLs when the control unit or eTIMS is slow, callbacks when a sale finishes signing, and credit notes that reverse a fiscal sale instead of deleting history. Speed of a signed invoice still depends on network quality and KRA’s eTIMS servers — that is true of every OSCU, not a Zeni quirk.
What happens at a Zeni POS counter
The cashier builds the cart as usual: scan, search, cash or M-Pesa STK. For a fiscal sale, the same ticket is the source of the tax invoice — customer name and PIN when the buyer needs a B2B invoice, tax category per line, and totals that match what eTIMS will see. You should not re-key quantities into another dashboard after the queue has gone.
A compliant eTIMS invoice is more than a logo. Buyers and KRA expect a QR code (or equivalent verification link) that opens the invoice status, a tax breakdown (for example standard-rated VAT versus exempt or zero-rated lines), and eTIMS metadata: date and time, invoice number, signature and internal data. DigiTax’s invoice model includes those blocks; Zeni POS is the system that already has the sale, the stock movement and the payment method.
Returns and corrections should become credit notes against the original fiscal sale, not a silent void that leaves KRA holding an invoice your books no longer recognise. That is how you stay auditable when a customer brings back a crate or a chemist reverses a wrong SKU.
Onboarding: PIN, eTIMS request, then go live
Fiscalisation is not a toggle you flip on a Friday without KRA. Typical steps: you already have a KRA PIN (and VAT registration if you are in VAT). You complete the eTIMS service request KRA expects for an OSCU/integrator path, including the serial and details DigiTax issues for your business. KRA confirms. DigiTax marks the business LIVE so production invoices hit the production eTIMS environment rather than a test sandbox.
If you already fiscalise on another eTIMS solution, KRA has a change-of-solution process. We flag that on the demo so you are not surprised by a parallel invoice series. Test keys and LIVE keys are different; selling to real customers on a test business is how shops accidentally issue invoices that do not count.
Zeni onboarding includes this tax path in the written Kenya-shilling proposal: product import, tax classes on SKUs, who may issue a credit note, and whether every walk-in needs a simplified receipt or a named invoice. DigiTax commercials for the OSCU service, if any, are spelled out rather than hidden inside a “free eTIMS” banner.
Offline tills, fibre cuts and still needing a verifiable invoice
Zeni POS is offline-first for selling and stock. eTIMS signing, by OSCU design, needs a path to the online control unit and KRA. DigiTax’s offline URL pattern exists for the gap in between: you can still hand the customer a verification link shaped around your business and invoice number while the sale is queued to complete, then the link shows the signed eTIMS receipt once transmission succeeds.
That is the honest Kenyan combination: do not freeze the minimart because eTIMS is slow; do not pretend a paper roll with no QR is a tax invoice. We map your connectivity (CBD fibre versus estate 4G) on the demo and set expectations for when a sale is “sold in Zeni” versus “signed in eTIMS”.
Who this is for — and what we will not overclaim
Retail dukas whose customers are other businesses, chemists selling to clinics, hardware shops invoicing contractors, restaurants catering corporates, agrovets invoicing farms, and multi-branch owners who cannot afford a different tax app per till. If your only buyers never ask for a PIN invoice, you still may need eTIMS for your own records and for future TCC or iTax matching — that is a conversation with your tax agent, not a slogan.
